Now that we have our file set up, we need to select which account we want to add the file to. For this example, we’ll choose the Petty Cash account.
When we click on Petty Cash, it takes us to the account screen and we can upload our file. Click the down arrow next to the Update button at the top right of the screen. This will bring up a menu and we will be able to click on “Upload Files” from there.
On the next screen, we need to tell QuickBooks where to get our data from. It will need to know if we are giving it a local file on our computer or uploading directly from our banking institution. In this example, we previously exported our CSV and located the file locally on our computer.

Now that we’ve found our file, we need to work with QuickBooks to tell it how to use this file and where it should go. On the next page, you’ll be presented with a prompt that says, “Select a QuickBooks account for the bank file you want to upload.” In our example, we will assign register.csv to our petty cash register. You don’t always need to assign an existing account, you can always “Add New” and create a new account for your situation.
The next step is a bit tricky but once you do it a few times it becomes second nature. Here, we are asked to tell QuickBooks how to interpret the data from each column and map that data to a transaction. For example, our QuickBooks has a date column for each transaction and our Excel spreadsheet has a date column for each transaction. QuickBooks also has a field for details. The column most similar in description is column 4, Memo. Finally and perhaps the most important part is the data for transaction size. QuickBooks is smart enough to know that sometimes banks separate payments and deposits into different columns, and sometimes banks combine all the numbers into one column and use negatives. and positive value to distinguish the two types of transactions.
The next step is to help QuickBooks parse the transactions. We’ll click next and on the screen that follows, QuickBooks will show us all of our transaction data by definition. You will see matching dates, details and quantities and if everything is fine, you can click next and start importing.

We have some work to do after the import is complete as these items will not be removed automatically. We can confirm this by looking at our minor currency tile in our registration list. The dollar amount for Petty Cash is still zero and we have 44 items on our to-do list.
