Flow Chart Template In Word
Flow Chart Template In Word – This tutorial gives a general overview of the drawing tools in PowerPoint and tries to show some less obvious tips. If you’ve used tools in other Office applications, the basic concepts are the same, but each Office application has its own twist. (Note: We’ll make the FlowBreeze add-in that automates the creation of flowcharts in Excel.) It should also be noted that this article contains classic Microsoft Office forms. AutoShapes, not SmartArt graphics. SmartArt is attractive and good for certain types of diagrams, but it’s not really suitable for creating flowcharts.

The drawing tools from 2007 to 2019 are the same with only minor differences. PowerPoint 2010 added guides that appear when you move a shape to align with another shape. PowerPoint 2013 – 2019 has slightly different styles for default themes in Quick Styles than previous versions. Otherwise, creating flowcharts and other diagrams is the same between versions.

Before you begin, you need to choose the right type of slide for your flowchart. From the Home tab, click the New Slide drop-down menu and select “Board Only” or “Blank Slide” to increase the space. You may be tempted to choose a Title and Content slide, but the content panel is not designed to include standard shapes.
By default, shapes are attached to a grid in PowerPoint. The grid size depends on the location of the units. In the US, the default dimensions are in inches and the display grid has 1 inch. Solid grid points are not shown. When you move or resize the shape, the border will “close” to the nearest grid point. The default grid spacing is set to 0.083″ (1/12″). To change the grid spacing, on the PowerPoint Home tab, click Draw > Alignment > Grid Settings to open the Grids and Guides dialog box.
Flowchart shapes are also available from the Drawing group on the Home tab and the Insert tab under the Shapes drop-down gallery. The Home tab is convenient, so we just use it. To view all shapes in the gallery, click the More Down arrow as shown in the image to the left. The entire gallery appears below on the right. The screenshots below are from PowerPoint 2013, but the form tools have remained fairly consistent from Office 2007 to 2019.

To add a shape, click a shape in the gallery, then click anywhere on the slide to place the shape. You can also drag it to the slide by holding down the left mouse button. After the shape is placed, you can move it with the mouse and resize it as needed. To add text, click on the shape and start typing. The default text alignment is centered vertically and horizontally. Horizontal alignment can be changed using the standard text alignment buttons in the Paragraph group of the Home tab. Vertical alignment settings are available through the Text Alignment drop-down menu.
Adding arrow links works like adding a form. Select an arrow type from the shape gallery and use the left mouse button to draw the arrow. They are called “links” because the end points of the arrow connect to the shapes. If the form is moved, the contact is moved with it. To connect an endpoint to a shape, click and drag it on the shape until you see the connection points marked on the shape and the link snaps to the desired connection point.
There are 3 types of line – straight, elbow and curved. You can right-click the link and change it from the Link Types menu.

For branches from solution shapes or parallel paths, you can add labels next to the connecting lines. To do this, you should use the infinite text box on the Insert tab to distinguish it from other flowchart processes. The standard font size for labels is 18 pt, but I personally reduce the size to 16 pt or 14 pt to help visually separate them from other shapes.
The Style Gallery is available in two locations. On the Home tab, when you click on a form, the Quick Styles drop-down gallery is activated. Also, when you click a form, the Format tab appears on the ribbon. The style gallery is the same in both places, but the format tab gives you more customization options, which we’ll cover below.
When you first add a shape, the default style in PowerPoint 2007 and 2010 is a dark blue background with white text. PowerPoint 2013 – 2019 has a more beautiful light blue color. After adding the first shape, you can use Quick Styles to change the format and adjust the font, size, and color to suit your taste. Then right-click the form and select Set as Default Form from the context menu. (The menu label is a bit misleading. It says default shape style, not shape type.) Now when you add new shapes, the formatting is set to the new default style.

The default font in PowerPoint is Calibri 18pt. Needless to say, this does not allow you to fit many figures on one slide. It may be tempting to reduce the font size to fit more on the page, but remember that this is presentation software. Small flowchart text can be very difficult for viewers to read. Most presentation professionals recommend never going below 16 pt for text and 14 pt for labels.
To reduce the size of your flowchart, be careful with the text and aim for a high-level overview of the process rather than a detail-oriented one. Also avoid Decision shapes (diamonds) as they take up a large footprint and contain less text than other shapes of the same size. For some shapes, such as solutions, you can fit more text in the shape by setting the inner margins of one or more pages to 0. To change the inner margins, right-click the shape and select Format from the menu.
Custom formatting tools are located on the Format tab, which appears when a form is selected. Those interested in block diagrams:

Note: The screenshots below are from PowerPoint 2007 and the new styles were introduced in PowerPoint 2013. However, the location of the tape remained consistent.
Formatting figures and references separately is difficult. Instead, wait until you fill the chart and format everything at once. You can select multiple shapes and format them together. Forms and links must be created separately, as the Quick Styles gallery is different for each.
To quickly copy and paste a style from one form to another, you can select the form and use the Format Painter tool on the Home tab. If you’re pasting into multiple shapes, remember to double-click the Format Painter toolbar button instead of once.

When you select a shape, “handles” appear on the sides and corners. Click and drag the handle to adjust the size. You can also right-click the shape and select Size and Position from the context menu. This dialog gives you better control over height, width, and rotation.
