It is recommended that you send the letter no later than 30 days before the expiration date. The landlord can send the letter himself or use websites such as MailLetter.com ($1.99 for 1 page).
The tenant must respond within the deadline specified in the letter. Depending on the circumstances, the tenant may decide to make a counter offer to the landlord. If so, it may be best to schedule a meeting with the tenant to negotiate and reach a verbal agreement.

If the terms of the lease are largely the same as the original lease, the parties can sign a simple 1-page lease renewal agreement. If there are many changes in the new lease agreement, for example, the tenant, the landlord has changed, the tenant has moved to a new space in the building, etc., a new lease agreement must be concluded between the parties.
A renewal is legally treated as a brand new contract, where a renewal simply extends the end date of the original contract.

The current lease can be renewed, but without a fixed term. That is, this extension can occur during the “transformation of the rental agreement into a monthly rental agreement”. If so, check the box in the second box “IV. Extension Period”.
